Trancefixt/Mind Body Soul Fayre
TERMS & CONDITIONS (Exhibitors)

Updated: 28/09/23

THE POSSESSION OF A MIND BODY SOUL TICKET SHALL CONSTITUTE AN ACCEPTANCE BY THE HOLDER OF THE TERMS, CONDITIONS AND ADVICE DETAILED BELOW AND IMPLY AN UNDERTAKING ON THE PART OF THE HOLDER TO OBSERVE THEM

By becoming an exhibitor at our Mind Body Soul Fayre you are agreeing to these terms:

1. All conditions to this ticket are to be read together with all other statements and or directives either shown on the ticket or displayed on the premises. Check this website for updated information: www.trancefixt.uk

2.  In the event of a breach of this contract by the organiser, the organiser shall not be liable for any loss, damage, cost or expense arising out of the breach which was not reasonably foreseeable by the organiser at the date of this contract.

3.  As an exhibitor I agree to provide a copy of my Public Liability Insurance Certificate via e-mail prior to stall booking.

3.1   As an exhibitor it is my responsibility to send a new Public Liability Insurance Certificate when it has been renewed.  If a valid Certificate is not received 2 weeks prior to an event we reserve the right to cancel your booking with no refund (in this event you will be advised via e-mail).

4.   As an exhibitor I agree to bring a table (no longer than 6ft), a tablecloth, a banner and/or promotional material so customers can see who I am.

5.   As an exhibitor I confirm I do not run similar sized wellbeing fairs in the north of England or work with/for anyone who runs such fairs.  This would constitute a ‘conflict of interest’ and such exhibitors would not be eligible to exhibit.  I understand that if there is a conflict of interest or a subsequent conflict of interest comes to light then I will no longer be eligible to exhibit and my booking will be cancelled.

6.  As an exhibitor I agree that neither I, nor a colleague will promote (verbally or through promotional material) a similar wellbeing event without written permission from the event organiser.

7.   As an exhibitor I agree not to move spaces unless this has been agreed with the event management.

8.   As an exhibitor I agree to be respectful to the event management team, customers and other stallholders at all times (e.g. including the use of loud sound equipment), and not encroach on other stallholders allocated space.

9.   As an exhibitor I agree not to bring extra tables that have not been paid to sell on.

10.   As an exhibitor I agree to stay until the Fayre closes, unless in the event of an emergency.

11.   As an exhibitor I agree that if I am unable to attend an event I will e-mail to advise I cannot attend ASAP.  Failure to let us before the event could mean you are banned from future events.

12.  As an exhibitor I agree to read the Health and Safety Risk Assessment (provided after booking or available on request) and adhere to the guidance around health & safety.

13.   As an exhibitor I agree to park responsibly in the designated parking area and endeavour not to block in other vehicles where possible.  The organiser accepts no responsibility for any theft or damage to vehicles.

14.  As an exhibitor I understand live video will be taken of the event on the day for promotional purposes.  Should I not want myself and/or business to be on video I will advise the organiser via e-mail prior to the event.

15.  As an exhibitor I confirm I hold valid public liability insurance which fully covers the event and I understand that the organiser takes no responsibilities for any damages, loss or injuries incurred.

16.   As an exhibitor I understand all bookings are paid in full and are non-refundable and non-transferable unless the event is cancelled. In the event that an event is cancelled due to unforeseen circumstances by Trancefixt/Mind Body Soul Event Management then the exhibitor will be entitled to a full refund of the space cost only, no other costs will be refunded.

If any of the above terms are breached the exhibitor could be asked to leave the fayre and/or be banned from future events and further action could be taken.
